How we work
From brief to service, in five steps.
Brief
You send the event, dates, hotels, arrival points and passenger numbers. Even if incomplete.
Logistics analysis
We check routes, access, luggage and times, and flag critical points.
Proposal
You receive a plan of legs, vehicles and conditions. Availability and prices are confirmed here.
Planning
We define times, pick-up points, contacts and changes.
Service
Vehicles operate according to the agreed plan, with one point of contact.
A quote request is not a booking or a payment.
Fleet and vehicles
The vehicles belong to BusEventi's partner companies. Three vehicle sizes and how we use them. Equipment (Wi-Fi, sockets, toilet, microphone, air conditioning, lift, luggage space) is confirmed for the assigned vehicle in the proposal.
Minibus, 19 seats
Use: Small and medium groups, last stretches to venues with narrower access, pick-ups from hotels with limited space.
Limits: Fewer seats per vehicle: larger groups need more vehicles or more passes.
Passengers: With luggage, up to 12. Without luggage, up to 18.
Bus, 30 seats
Use: Medium groups, hotel-to-venue shuttles over short and medium distances, transfers where a large coach is too bulky.
Limits: Access to historic centres and narrow roads is checked case by case for the assigned vehicle.
Passengers: With luggage, up to 22. Without luggage, up to 28.
Bus, 50 seats
Use: Main routes, large groups, airport and station transfers, long legs between cities.
Limits: Not suited to narrow roads, historic centres or venues with limited manoeuvring space. Access is checked case by case.
Passengers: With luggage, up to 45. Without luggage, up to 49.
Generic capacities: they depend on the individual vehicle and are confirmed for the assigned vehicle in the proposal.

Why BusEventi
One point of contact
Times, vehicles and changes go through a single contact.
A plan of legs
The service is built on the event programme, not on a single time.
Vehicle sizing
Number and type of vehicles depend on passengers, luggage, route and frequency.
Departure management
Staggered departures, rotations and meeting points are defined before the event.
A rotation plan, read like a timetable
A shuttle is not a single trip, it is a timetable. Below is a made-up example: two shuttles collect from three hotels in the morning, and in the evening the returns leave at different times.
| Time | Shuttle | Stop |
|---|---|---|
| Morning, to the venue | ||
| 07:30 | N1 | Hotel A · departure |
| 07:45 | N1 | Hotel B |
| 07:50 | N2 | Hotel A · departure |
| 08:00 | N1 | Hotel C |
| 08:05 | N2 | Hotel B |
| 08:20 | N1 | Event venue · arrival |
| 08:20 | N2 | Hotel C |
| 08:40 | N2 | Event venue · arrival |
| Evening, staggered returns | ||
| 17:30 | N1 | Venue, then Hotel A, B, C · departure |
| 19:00 | N2 | Venue, then Hotel A, B, C · departure |
| 22:30 | N1 | Venue, then Hotel A, B, C · departure |
Illustrative example. Times, hotels and number of shuttles are made up and only show the format. A real plan starts from your hotels, flights and event programme.
Planning examples
These are illustrative scenarios to explain how we think, not managed cases.
Example · Rome
A congress with three hotels
A congress hosts 200 delegates across three hotels. A rotating shuttle serves the three pick-up points in the morning window and repeats the loop on the way back. The number of vehicles depends on passengers, luggage and distances, and is set in the proposal. This is an illustrative example, not a managed case.
Learn moreExample · Milan
A three-day trade fair
A company brings 120 guests to a fair for three days. A shuttle runs two morning loops from the hotels to the exhibition district, one in the afternoon, and brings everyone back after the company dinner. The timetable and vehicle count are set in the proposal. This is an illustrative example, not a managed case.
Learn moreExample · Florence and Tuscany
A conference plus an out-of-town dinner
A group attends a conference in the city during the day and dines at a villa outside Florence. A touring coach covers the city leg and the route towards the area, and a minibus takes over for the last stretch if the road does not admit large vehicles. This is an illustrative example, not a managed case.

Frequently asked questions
Do you work with companies and event agencies?
Yes. BusEventi works with companies, event agencies, DMCs, PCOs and organisers of conferences, trade fairs, incentives and sports events. The service is B2B and fits into the overall event proposal.
Can you serve several hotels with several coaches?
Yes. We plan several pick-ups that converge on the event venue, with the number of vehicles sized on passengers, luggage and distances. State hotels and times in the brief.
What is the difference between a rotating shuttle and a round trip?
A single round trip takes one group from A to B and back once. A rotating shuttle repeats the route continuously for several groups across the day and needs more passes.
What is the difference between attendees and passengers?
Attendees are everyone at the event. Passengers are those who actually use the transport. Vehicles are sized on passengers, together with luggage.
Can accessibility needs be handled?
Yes, as operational compatibility of the vehicle and service, for example the need for a lift. No diagnoses are needed: in the form state only what is required. Availability is confirmed for the assigned vehicle.
Do you cover airports and event venues?
Yes, group transfers from airports and stations and shuttles to event venues are part of the service. Drop-off, pick-up and parking points are checked for the date and never assumed.
Is on-site staff included?
Not automatically. Dispatching and on-the-ground staff are services to be sized in the proposal according to the complexity of the event.
What data do I need to get a quote?
Destination, event type, dates, number of passengers, legs and services requested. An incomplete brief is fine: missing details are clarified in the proposal.
What happens if times change?
Changes are handled with the point of contact according to the conditions in the proposal. Flag any times that are still uncertain in the brief.
Are permits and parking included?
They are to be defined in the proposal, for the specific date and place. We do not guarantee access, reserved parking or privileged entry before checking them.
Does transport for sports events include tickets or hospitality?
No. Transport is separate from tickets, hospitality, passes and VIP access, which depend on the organiser or other suppliers.
Send us your brief
Event, dates and starting points are enough. Missing details are clarified in the proposal.
